Define which functions must work without a monthly fee

Ask for written confirmation that the selected configuration can record, play back and export the footage you need without a recording subscription. Check remote viewing, event search, notifications and sharing separately: these can have different account, licence or service requirements.

A camera’s purchase price is not its total ownership cost. Include storage hardware, installation, electricity, connectivity, maintenance and any optional monitoring or cloud backup. No recording subscription does not mean the equipment has no running costs.

Some cameras support recording to a memory card, but this must be checked on the exact model. Confirm supported card capacity, recording modes and the method for reviewing and exporting clips. Also consider what footage remains available if a camera is damaged or removed. A camera card and recorder storage are different arrangements, not automatically interchangeable features.

Will local recording continue if the internet drops out?

A compatible, correctly configured NVR system can continue local recording without an internet connection when the cameras, local connections, recorder and power remain operational. Remote phone access and cloud functions can be unavailable during the same outage. Confirm the actual behaviour of your selected equipment during handover.

An internet outage and a power outage are separate tests. A recorder with no power cannot provide normal recording merely because its hard drive is local. If backup power is part of the brief, identify all required equipment, including camera power and network components, and agree an appropriate design and runtime estimate.

Specify retention and practise exporting an event

Choose the recording period around when you are likely to notice an incident. Camera count, bitrate and recording schedule affect storage needs, so the same hard-drive size does not provide a fixed number of days for every system. Ask for a calculation using the selected settings and clarify when older recordings are overwritten.

At handover, review a recent recording, locate a specific time and export a short clip. Confirm the playback software or format needed to open that export. Keep the account recovery and maintenance instructions with the equipment record so future access does not depend on remembering a single phone setup.
