Commercial security checklist: cameras, recording and handover

Build a practical CCTV and alarm brief for a shop, office or warehouse. Define coverage, recording, user access and installation requirements before comparing quotes.

A commercial security brief should reflect how the business operates. Before choosing equipment, walk the site during opening, trading and closing conditions. Separate the events you want to review from the areas where you simply need an overview.

Map people, deliveries and access points

Mark public entrances, staff access, loading areas and routes through the premises. Note shelving, roller doors, vehicles and changing stock layouts that could block a camera. Write down the purpose of each view rather than filling a floor plan with identical camera symbols.

Include the lighting conditions at opening and closing time. Tell the installer about reflective shopfronts, dark loading bays and frequently rearranged displays. Ask how the proposed view will be checked with a person moving through the scene at the relevant distance.

  • Identify the most important entry and exit views.
  • Note restricted areas and who needs access.
  • Record likely obstructions and lighting changes.
  • Keep proposed camera positions on a dated floor plan.

Decide how recordings will be used

Name the people who will review events and decide what they need to do: live viewing, playback, export or system administration. Confirm that the proposed equipment supports those functions and the required user permissions. Agree a recording-period target and ask for a storage estimate for the selected settings.

Keep alarm requirements in the same project brief but on a separate equipment list. Describe opening and closing routines, areas that need separate arming, and any notification or monitoring services you want quoted. Do not assume camera equipment includes those services.

Specify installation and ongoing responsibilities

Give the installer access constraints, preferred working times, cable routes and the planned recorder location. Ask for an itemised equipment and installation scope, including mounting, configuration and handover. Identify who is responsible for network changes and any coordination with your IT provider.

At handover, check each important view, play back a test event and export a sample clip. Confirm timestamps, authorised users and who receives relevant alerts. Schedule a review after a layout change and assign someone to check that recording continues to work.
